Privacy Policy

This Privacy Policy applies to the WaiterPos iOS application (bundle ID com.waiterai.posapp), operated by WaiterAI (“we”, “us”, or “our”). WaiterPos is a business point-of-sale (POS) app for merchants and their authorised staff.

1. Who this policy covers

This policy covers personal and business data processed when you use WaiterPos and related WaiterAI backend services. The app is intended for business use by organisations and their authorised users. It is not directed at children.

2. Data we collect

• Account data: email address and login credentials used to sign in; user identifiers, roles, and tenant/store association.
• Business / POS data you enter or generate: catalog and inventory, branches/stores, staff records, sales and receipts, orders, tables/kitchen tickets (where enabled), voids/refunds, discounts, tips or service charges, and tenant settings.
• Payment method labels only: for example cash, card, or other. We do not collect, store, or process full payment card numbers, CVV, or card magnetic-stripe / chip data through this app.
• Device / session data: authentication tokens and session information stored on the device so you can stay signed in; selected branch and app preferences; offline queues and local caches needed to operate the POS when connectivity is limited; receipt files created on the device when you print or share a receipt.

We do not sell personal data. We do not use the app for advertising or cross-app tracking. We do not use third-party advertising or analytics SDKs in WaiterPos.

3. How we use the data

We use the data described above to:

• Authenticate users and manage access to the correct business/tenant.
• Operate the POS service, sync data with our backend, and support offline queues.
• Provide customer support and account administration.
• Maintain security, prevent abuse, and meet legal obligations.

4. Where data is stored and who we share it with

Account and business data are processed and stored in connection with our backend services hosted in Malaysia. Data is transmitted securely between the app and our servers.

We do not share personal data with third parties for their own marketing. We may share data with hosting and infrastructure providers solely as needed to run the service, or when required by law. Those providers are required to protect the data to a standard at least as strong as this policy.

If you use device features such as Share, Print, or email to send a receipt, content you choose to send may be handled by apps or services you select on your device. That is under your control and outside WaiterAI’s processing.

5. Retention and deletion

We keep account and business data while the account is active and as needed to provide the service. Clients and authorised users may request deletion of an account and associated personal data by emailing us at the contact below.

We will delete or anonymise that personal data within 30 days of a verified request, unless we are legally required to retain it (for example for tax, accounting, or dispute records). Business operational records may be retained in anonymised or aggregated form where required for legitimate business or legal purposes.

6. Security

We use appropriate technical and organisational measures to protect data in transit and at rest, including authenticated API access. No method of transmission or storage is completely secure; please keep your login credentials confidential.

7. Children’s privacy

WaiterPos is a business application and is not intended for use by children. We do not knowingly collect personal data from children.

8. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the app after an update means you accept the revised policy.

9. Governing law

This Privacy Policy is governed by the laws of Malaysia.
